Title: Office Coordinator

Location/hours: Onsite at Home Office, 120 North Racine, Suite 100, Chicago, IL 60607. Monday - Friday, 8:00 am - 5:00 pm CST.

Role Description:

The Office Coordinator is responsible for serving as the main point of contact for the Home Office.

What you’ll do:

  • Oversee the Home Office; including serving as a main point of contact for building needs; inventory & supplies; office activities, conference room support.
  • Greeting team members and visitors to the office, ensuring guests are comfortable and are connected to the right office personnel.
  • Managing schedules for conference and community spaces.
  • Monitoring and ordering inventory for office and break room supplies.
  • Managing incoming and outgoing correspondence including mail and packages.
  • Filing and organizing records, invoices and other important documentation.
  • Create new office process as needed.
  • Update office trackers for in office processes.
  • Submitting work orders and scheduling repairs for general office space and equipment.
  • Help with house tours which occasionally requires helping stage before potential client visits.
  • Support the Admin team with team onsite meetings including ordering supplies, preparing rooms, and other ad hoc support.
  • Assist with companywide event planning.
  • Other duties/responsibilities as necessary.

What you’ll bring to the table:

  • High School Diploma or Bachelor’s degree.
  • Excellent written and verbal communication skills.
  • Great interpersonal skills.
  • Friendly, humble, service-oriented mindset.
  • Problem solving and basic troubleshooting skills.
  • Proficiency with Microsoft 365.
  • Comfortable in a fast-paced, ever changing environment.
  • Ability to maintain confidentiality when dealing with sensitive information.

Classification: Salaried/Non-Exempt

Reports to: Lead Executive Assistant

ShipBob believes in transparency while providing a competitive total compensation package with a pay for performance approach. The expected base pay range for this position is $33,278 - $55,463.
