WHAT YOU'LL WORK ON

Qualia is growing rapidly and your role as a Recruiting Coordinator is to help the recruiting and hiring teams by owning all interview logistics and candidate experience. You will work with teams across the entire organization to help manage the interview process from start to finish. You are detail-oriented, organized, personable, and able to guide candidates through the interview process to ensure their experience is highly positive. As one of the first people at Qualia that candidates interact with, you will be making the impression that represents who we really are.

You’ll also be responsible for managing the Austin office facilities to ensure that the office is fully equipped with supplies, working closely with our vendors to foster good relations and ensure service levels meet our expectations.

RESPONSIBILITIES

  • Take the lead on coordinating complex interviews across multiple departments at a fast pace.
  • Support all scheduling logistics for the Recruiting team including the coordination of recruiter and hiring manager phone interviews and remote/in-person final interviews.
  • Become a master of our applicant tracking system, Greenhouse, to keep candidates moving quickly through the pipeline.
  • Build strong partnerships with recruiters, hiring managers, and candidates to drive an efficient process for providing the best candidate experience.
  • Identify challenges and implement change to improve our workflow and manage partnership expectations.
  • Coordinate with property management and office-related vendors to ensure a safe and well-maintained work environment, process work orders, and ensure follow-up.
  • Oversee office meal & snack programs and office supplies (inventory and ordering).
  • Document, maintain, and improve Austin Facilities processes for scalability, and cost.

YOUR BACKGROUND THAT LIKELY MAKES YOU A MATCH

  • BA/BS degree or equivalent experience
  • Interest in a career in recruiting or people operations/human resources
  • Impeccable attention to detail and organizational skills
  • Fantastic interpersonal communication skills (written and oral) and experience interfacing with all levels of an organization
  • Passion for teamwork and positively contributing to the success and reputation of Qualia
  • Thrives in a multi-tasking environment and demonstrates the ability to prioritize high demand moving parts, despite any obstacles, with professionalism and good judgment
  • Experience and comfort with Excel/ Google Sheets
  • Experience with an online ATS (ie. Greenhouse) is preferred, but not required
  • Must be based in Austin and willing to work in office a minimum of 3 days a week
