The Role

We’re looking for a Workplace Lead to lead office operations at our Legora Stockholm office. As Workplace Lead, you will deliver a consistent, welcoming, and well-run office experience at Legora. You will support daily workplace operations, partner with vendors and internal teams, and improve the systems that keep our offices running smoothly.

This is a hands-on role for someone who enjoys practical problem solving, clear routines, and strong service delivery. You will work closely with IT, Security, People, and Finance, and you will be a go-to person for workplace questions, office processes, and on-the-ground execution.

What You’ll Do

  • Lead the Workplace team on facilities, budget, safety, and security-related concerns

  • Create a positive employee experience through high-quality workplace support, and partner with local site leadership to build strong, productive working relationships

  • Manage the day-to-day running of office operations so services are delivered reliably and efficiently

  • Coordinate office-wide events, celebrations, and local traditions in partnership with the global Workplace team, and contribute to a consistent Legora workplace experience

  • Partner with People Ops and IT to support smooth onboarding for new joiners and dependable ongoing operational support for employees

  • Manage vendor and landlord relationships, including contracts, purchase orders, renewals, and day-to-day performance

  • Support workplace budget tracking and help align the food program with budgets and expected daily attendance levels.

  • Step into the reception when needed, greeting all visitors with a calm, helpful, and hospitable approach, ensuring guests sign in correctly and follow our Guest Policy

Who You Are

  • You have 6+ years of experience in workplace, office operations, facilities, hospitality, or a service operations environment

  • You are highly organized and can prioritize multiple tasks while managing time effectively

  • You are approachable, professional, and service-oriented, and you enjoy helping others navigate practical office needs

  • You communicate clearly in writing and verbally, and you ask questions early when context or decisions are needed

  • You are punctual and consistent, with strong follow-through on commitments and expectations

  • You are comfortable in fast-growing environments where plans can change, and you adjust quickly while keeping operations steady

  • You are proficient in Google Workspace, calendar and meeting tools
