Job Summary:

The Administrative Coordinator role is a 3-6 month contract paying $20-$28/ hour and will be responsible for coordinating and managing a wide range of administrative tasks and office operations. This role involves supporting staff, managing office resources, and ensuring efficient workflow within the organization. The Administrative Coordinator will act as a key point of contact for administrative functions and will work closely with all departments to support organizational goals.

Key Responsibilities:
  • Office Management:
  • Oversee daily office operations and ensure a well-organized work environment.
  • Manage office supplies, equipment, and inventory.
  • Coordinate maintenance and repairs for office equipment and facilities.
  • Administrative Support:
  • Provide administrative support to staff and management, including scheduling meetings, preparing documents, and handling correspondence.
  • Assist in the preparation of reports, presentations, and other documents.
  • Maintain accurate and up-to-date records and files.
  • Communication:
  • Serve as the primary point of contact for internal and external communications.
  • Manage phone calls, emails, and other forms of communication.
  • Coordinate and disseminate information to staff and relevant stakeholders.
  • Event Coordination:
  • Plan and coordinate company events, meetings, and other activities.
  • Arrange logistics for events, including venues, catering, and travel arrangements.
  • Ensure all event details are managed efficiently and effectively. Planning and posting social media events
  • Financial Administration:
  • Assist in budget preparation and expense tracking.
  • Process invoices, reimbursements, and other financial transactions.
  • Maintain accurate financial records and documentation.
Qualifications:
  • Associate’s or Bachelor’s degree in business administration, office management, or a related field.
  • Proven experience in an administrative or office management role.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office and other office management software.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving skills.

Work Location

This is an In-Office role at the Mountain View Office.
